Terms and Conditions for Traders

1) Booking and Payment

Successful applicants must make payment in full prior to the event using the online system above (checklist 3).

A stall space is £60 for the weekend, a single day premium will cost £50.

For two stall spaces (two tables), the cost for the weekend will be £90.

2) Acceptance of Application for Stall Space

Due to the limited space available, the Organiser shall have the discretion to accept or refuse any application without being required to give an explanation. Successful applicants will be notified promptly and in good time.

3) Product Definition

No goods other than those described on the application form may be exhibited without the prior written approval of the organiser and the organiser shall have the discretion to require the removal of any item not so approved.This will be a family event, so no offensive items are allowed to be displayed.

This is a no-smoking zone, burning of incense, joss sticks and vaping is strictly prohibited.

4) Food Exhibitors

Due to the nature of the venue, we will not be accepting applications from cooking/refreshment retailers e.g. hot food stands, tea/coffee stands, take-away vendors etc. Due to the policy of the venue, alcohol cannot be consumed/sold on premises.

Please note that all Health & Safety and training certificates should be available for inspection.

Any allergy information should clearly be advertised for customers (i.e. nuts, wheat, dairy).

5) Stand Allocation

Requests for stands in specific positions will be considered sympathetically but no such request should be deemed as being binding on the organiser. Stand allocations will be made taking into account the nature of product, type of demonstration and the general layout.

6) Stall Sizes

The Stall holder is responsible for booking adequate stand space for his/her entire display, including access. A table measures 6ft unless otherwise stated.

7) Electricity

Access to electricity is available at some locations, but limited. If you require a power point please inform the organiser on your booking form and they will endeavour to locate a stall near to a socket, if one is available.

All electrical items should be suitably PAT tested.

8) Tables and Chairs

A table will be provided
Stall holders must complete their stand at least 30 minutes before the event opens.
To prevent trip hazards, please stow all boxes and packaging away safely, clear of gangways and alleyways.
The stall holder is responsible for the disposal of any rubbish.

9) Conclusion of Event

All Stallholders are requested to stay for the duration of the event unless there are exceptional circumstances. Out of courtesy for other traders please do not pack away until the close of business. Empty stalls have a detrimental effect on other Traders who have also paid to attend a full event.

10) Parking

Where a car park is available, stall holders park at their own risk. Aberystwyth Steampunk Spectacular will not accept responsibility for any losses, damages or accidents.

11) Refunds

Refunds will not be given in the event of cancellation by the stallholder, poor sales, bad weather or any other event that the organiser has no control over including low visitor numbers.

Event Information to Traders

Where and when is the event?

The event at Old College will be open to the public 10am-5pm Saturday and Sunday, 12th and 13th October 2019.

How much is the traders fee for the event?

The traders fee is £60 per stall for the two day event, included in this price is an optional 6ft event table.

A double stall/combined stall is also available for £90.

As the event is taking place over two days, we expect traders to commit to both dates. If this is not possible then a single day premium fee will be applied at £50.

When do I need to be set-up prior to the event?

Set up for traders is open on the Friday evening between 5-8.

Set up for traders on Saturday morning will be from 7:30am - 9:00am, ready for opening at 10:00am.

There is limited on street parking at this venue. Secure parking is available at the seafront side of Old College.

Limited Parking is available at St Michaels Church opposite Old College (parking charges apply).

All day parking is available in Park Avenue, near the Vale of Rheidol railway (parking charges apply).

Where will my stall be based and when will I know?

Pitch spaces will be allocated prior to the event via the 'Stall Allocation' section on this page, a plan will also be on display on the day.

Each pitch will typically be a 6ft x 3ft table (provided at the venue) with some room for stand-up items such as clothes racks, statues, banners etc.

Please ensure that you have all the relevant insurance up to date.
